How We Test Every Refurbished Unit: A 5-Step QC Walkthrough

Every refurbished unit we list at ITRefurb goes through the same five tests before it ships. None of these tests are exotic — they are the standard operating procedure of any serious refurbisher — but most resellers skip one or two to save time. We do not.

This post walks through each step in order: what we run, what we look for, and what we do if a unit fails.

Why this matters

We sell every unit as-is with no warranty of any kind. That is the locked policy. The reason we can ship with confidence is that the failure modes that matter — the ones that show up in the first 30 days of use — are caught in the QC process before the unit leaves our bench.

If we miss a step, the customer pays the price. So we do not skip steps.

Step 1: Visual inspection and cosmetic grading

The first thing we do is look at the unit. We grade it A, B, or C based on visible wear:

  • Grade A: No visible wear from a 30 cm distance. Screen is flawless.
  • Grade B: Light wear — small scratches or minor dents on the lid or palm rest. Screen is clean.
  • Grade C: Visible cosmetic wear — deeper scratches, scuffs, or small chips. May have light keyboard marks on the screen.

We photograph every unit from four angles (top, front, left, right) and attach the photos to the test report. The cosmetic grade is recorded on the report and on the listing.

If a unit has structural damage — cracked hinge mounts, broken ports, deep dents that suggest a drop — we do not list it. It goes to parts or to the recycler.

Step 2: Burn-in stress test

The burn-in test is the single most important step in the QC process. This is the test that catches the failure modes that show up in the first 30 days of use.

We run a 4-hour minimum burn-in with the following loads cycling:

  • CPU: Prime95 small-FFTs at 100% load for 30 minutes per cycle.
  • GPU: FurMark at 1080p, full load, for 30 minutes per cycle.
  • RAM: MemTest86 single pass.
  • Storage: 100 GB sequential read/write across the full disk.

If the unit crashes, thermal-throttles below expected performance, throws a SMART error on the SSD, or fails any RAM cell, it fails. Failed units get the relevant component replaced and go back into the queue for a re-test.

We record the burn-in result on the test report. If a unit completes 8 hours of burn-in with zero errors, we ship it. We do not ship units that fail their first burn-in.

Step 3: Battery health check

Batteries are consumables. A 3-year-old laptop will have a degraded battery; the question is how degraded.

We run a full charge-discharge cycle on every laptop and record the design capacity versus the current full-charge capacity. We use the manufacturer's diagnostic tool where available (Lenovo Vantage, HP Support Assistant, Dell Command | Power Manager) and cross-check against a third-party tool like BatteryInfoView or HWiNFO.

  • Above 80% of design capacity: Battery is fine. Unit ships with the existing battery.
  • 60-80% of design capacity: Battery is worn but functional. We disclose the percentage on the listing. Some buyers want this — the price is lower.
  • Below 60% of design capacity: Battery is replaced before the unit ships. The replacement cell is an OEM or OEM-equivalent cell.

Desktop and server units skip this step — no battery.

Step 4: Full data wipe

Every storage device is wiped to NIST 800-88 Purge standard before a new operating system is installed. We use:

  • HDDERASE for traditional spinning disks (single full overwrite pass).
  • Parted Magic secure erase or the manufacturer's secure-erase command for SSDs (which triggers the drive's internal cryptographic erase).

We do not use quick-format. A quick-format leaves recoverable data on the disk.

After the wipe, we install a fresh copy of the licensed operating system the customer has chosen (Windows 11 Pro, Ubuntu LTS, or no OS at all if the customer is providing their own licence). We do not ship units with the previous owner's data, accounts, or applications.

Step 5: Hand-off check

The final step is a hand-off check. We boot the unit, sign in, verify the following:

  • The operating system activates and updates cleanly.
  • Wi-Fi, Bluetooth, Ethernet, audio, and the webcam all work.
  • All ports (USB-A, USB-C, HDMI, headphone jack) read a connected device.
  • The keyboard, trackpad, and all function keys respond correctly.
  • The screen has no dead pixels at a full white, full red, full green, and full blue fill.
  • The charger is the correct wattage for the unit and the charging port accepts it.

If any of these fail, the unit goes back to the bench. If they all pass, the unit is sealed in anti-static packaging, the test report is finalised, and the unit is added to the live stock list.

What you receive with every unit

When you buy a refurbished unit from ITRefurb, you receive:

  1. The unit, in anti-static packaging inside a brown-box shipping carton.
  2. The appropriate charger (we ship Indian 3-pin chargers; international customers should request the relevant plug).
  3. The test report, as a PDF, attached to your order confirmation on WhatsApp.
  4. The original operating system licence key (where applicable), recorded on the test report.

What is not covered

We are explicit about this: every refurbished unit we sell is sold as-is with no warranty of any kind, express or implied. This includes any warranty of merchantability or fitness for a particular purpose. If a unit develops a fault after delivery, we will help you diagnose the issue on WhatsApp, but we are not obligated to repair, replace, or refund.

This is the locked policy for every product on this site. We do not offer a "standard warranty", an "extended warranty", or any other form of post-purchase guarantee. The QC process above is what stands behind the unit — not a warranty.
